These terms and conditions apply to bookings made with Irish Butler Luxury Travel. By making a booking with us, the person making the booking confirms that they have read and accepted these terms and conditions on behalf of all guests included in the booking. These terms and conditions should be read together with your individual itinerary, booking confirmation and any specific terms provided to you before booking.
1. Our tours
Irish Butler Luxury Travel offers hosted tours, bespoke private journeys and other travel arrangements within Ireland. Our packages may include accommodation, private transportation, guided tours, experiences, entrance fees, meals and other travel services, as specifically stated in your itinerary and booking confirmation. Where a booking is a package under applicable Irish or European package travel legislation, the statutory rights and protections applicable to package travellers will apply.
2. Making a booking
You may make an enquiry or booking directly with Irish Butler Luxury Travel, through our website, by email or through an authorised travel advisor. A booking becomes confirmed when availability has been confirmed, the required deposit or full payment has been received, and written booking confirmation has been issued by Irish Butler Luxury Travel.
A courtesy hold, where offered, is not a confirmed booking and is subject to the agreed hold period.
3. Lead guest
The person making the booking is responsible for providing accurate information for all travellers included in the booking. The Lead Guest confirms that they have authority to make the booking on behalf of the other members of their travelling party and will ensure that all travellers are made aware of these Terms and Conditions.
4. Tour prices
The price of your tour will be confirmed before you make your booking. Your confirmed price covers the services and inclusions specifically stated in your itinerary and booking confirmation. Optional extras, personal expenses, room upgrades, additional nights and services requested after booking are not included unless specifically stated and will be quoted separately.
5. Taxes and mandatory fees
All applicable taxes and mandatory charges relating to the services included in your package will be included in the price quoted to you, unless clearly stated otherwise. Any optional extras or additional services will be clearly identified before you are asked to pay for them. Where applicable law permits a change to the price after booking, any such change will be made only in accordance with applicable legislation and these Terms and Conditions.
6. Deposit and payment
A 30% deposit is required to secure your booking unless otherwise stated in your booking confirmation. The remaining balance is normally due 90 days before the start of your tour.
If you book within 90 days of your departure date, full payment may be required at the time of booking. Guests are welcome to make additional payments towards their balance before the final payment deadline. Your booking is not confirmed until the required payment has been received and written confirmation has been issued.
7. Payment methods
Payments may be made using the payment methods offered by Irish Butler Luxury Travel, including secure online card payment and bank transfers. For bank transfers, guests are responsible for using the correct payment reference. Any bank or currency conversion charges imposed by your bank are the responsibility of the guest unless otherwise agreed in writing.
8. Booking confirmation and receipts
Once your booking and required payment have been received, we will provide written confirmation of your booking. You will receive a receipt or payment confirmation for payments made towards your booking. Final travel information will be provided before your departure.
9. Courtesy holds
Where availability allows, we may place a temporary hold on a place while you make your final decision. A courtesy hold is not a confirmed booking and does not guarantee availability after the agreed hold period. Your place will only be secured once the required deposit has been received and written confirmation has been issued.
10. Minimum numbers and guaranteed departures
Some hosted tours may require a minimum number of guests to operate. The applicable minimum number and the date by which the departure will be confirmed will be communicated before booking. Once a departure has been confirmed as guaranteed, we intend for that departure to operate as planned, subject to circumstances beyond our reasonable control and applicable law.
If a departure has not reached its required minimum number by the relevant decision date, we will contact affected guests as soon as reasonably possible and explain the options available to them in accordance with applicable law and these terms and conditions.
Guests are strongly advised to wait until their tour departure has been confirmed before making non-refundable flight arrangements.
11. Cancellation by the guest
You may cancel your booking by notifying us in writing. Cancellation charges may apply depending on how far in advance the cancellation is made and the costs incurred or committed by Irish Butler Luxury Travel in arranging your journey. The applicable cancellation schedule will be provided to you before or at the time of your booking. Where applicable law gives you a statutory right to cancel without a termination fee, that right will apply.
12. Cancellation by Irish Butler Luxury Travel
In certain circumstances, Irish Butler Luxury Travel may need to cancel a tour or make significant changes to the itinerary. Where this occurs, we will provide the rights and options required under applicable package travel legislation. Depending on the circumstances, these may include accepting an alternative arrangement or receiving a refund.
Where cancellation or disruption arises from unavoidable and extraordinary circumstances, the rights provided by applicable law will apply.
13. Changes requested by the guest
If you wish to make a change to your booking after confirmation, please contact us as soon as possible. We will do our best to accommodate your request, subject to availability and the terms of our suppliers.
Irish Butler Luxury Travel does not charge an administrative fee for changes where we have specifically stated that no administrative fee applies. However, any unavoidable costs imposed by hotels, transportation providers, guides, attractions or other suppliers may be payable by the guest. We will advise you of any applicable costs before making the change wherever reasonably possible.
14. Transferring a booking
You may request to transfer your booking to another traveller, subject to availability, applicable law and the requirements of our suppliers. Irish Butler Luxury Travel will not charge an administration or transfer fee for changing the name on your booking. However, reasonable costs or charges imposed by suppliers in connection with the transfer may apply.
The replacement traveller must meet all applicable travel requirements and agree to these terms and conditions. Please contact us as early as possible if you wish to transfer your booking.
15. Room upgrades
Room upgrades may be requested before or during the booking process and are subject to availability. Any additional cost will be confirmed before the upgrade is arranged.
16. Accommodation
Accommodation will be provided at the property or properties specified in your itinerary or booking confirmation. While we carefully select our accommodation partners, circumstances outside our reasonable control may occasionally require a change. Where a change is necessary, we will make reasonable efforts to provide suitable alternative accommodation in accordance with applicable law.
17. Itinerary changes
Our itineraries are carefully planned, but changes may occasionally be necessary due to weather, availability, operational requirements, attraction closures, safety considerations or circumstances beyond our reasonable control. Where a change is necessary, we will make reasonable efforts to provide a suitable alternative. Where a change constitutes a significant alteration to the package, the rights provided under applicable law will apply.
18. Flights
International flights are not included in our hosted tour packages unless specifically stated in writing. Guests are responsible for arranging their own flights and ensuring that their arrival and departure times are compatible with the itinerary. We strongly recommend that guests wait until their tour departure has been confirmed before purchasing non-refundable flights.
19. Flight delays or cancellations
If your flight is delayed or cancelled, please contact us as soon as possible. We will make reasonable efforts to assist with your arrival arrangements and coordinate with you where practical. Any additional costs resulting from flight disruption that are not included within the package or covered by applicable law or insurance may be the responsibility of the guest.
20. Leaving a tour early
If you choose to leave a tour before its scheduled completion, please notify us as soon as possible. Any entitlement to a refund for unused services will depend on the circumstances, the terms of your booking and applicable law. Any additional costs associated with alternative transportation, accommodation or other arrangements may be the responsibility of the guest.
21. No-show
If you fail to arrive for your tour without notifying us, this will normally be treated as a no-show. Refunds for unused services will depend on the circumstances, your booking terms and applicable law. If you are unable to travel or expect to arrive late, please contact us as soon as possible so that we can assist where possible.
22. Special requirements
Guests must notify us of any dietary, mobility, accessibility or other special requirements as early as possible and preferably before booking. We will make reasonable efforts to accommodate your requirements. Some historic attractions, rural locations and other experiences may involve steps, uneven surfaces or other accessibility limitations. We encourage guests with specific requirements to discuss these with us before booking.
23. Travel documents
Guests are responsible for ensuring that they have the correct passport, visa, entry permission and other documentation required for travel. Requirements can vary according to nationality and may change. Guests should check the relevant requirements well before travel.
24. Travel insurance
We strongly recommend that all guests obtain comprehensive travel insurance before travelling. Insurance should ideally include cover for cancellation, trip interruption, medical expenses, emergency assistance, baggage and personal belongings, flight delays and cancellations, and other travel disruption.
Guests are responsible for ensuring that their policy provides suitable cover for the full value of their journey.
25. Guest conduct
Guests are expected to behave respectfully towards other travellers, our host, tour guides, drivers, hotel staff, suppliers and members of the public. We reserve the right to take appropriate action where a guest's behaviour is seriously disruptive, abusive, threatening or creates a safety risk. Where a guest is removed from a tour because of serious misconduct, they may be responsible for any resulting costs, subject to applicable law.
26. Health and fitness
Guests are responsible for ensuring that they are reasonably able to participate in the activities included in their chosen itinerary. Some days may involve walking, stairs, uneven ground or other physical activity. If you have any concerns about your ability to participate, please discuss these with us before booking.
27. Problems during your journey
If you experience a problem with any service included in your package, please tell us or our designated local representative as soon as possible. We will make reasonable efforts to resolve the issue promptly. Where package travel legislation applies, Irish Butler Luxury Travel will fulfil its legal responsibilities as organiser.
28. Complaints
We want every guest to have an exceptional experience. If you have a concern during your journey, please tell us as soon as possible so that we can resolve it. If your complaint cannot be resolved during the journey, please submit it to us in writing as soon as reasonably possible after your return. We will investigate the matter and respond in accordance with our complaints procedure and applicable consumer law.
29. Unavoidable and extraordinary circumstances
Irish Butler Luxury Travel will not be responsible for circumstances that could not reasonably have been foreseen or avoided, and which significantly affect the performance of the package, where such circumstances are recognised under applicable law. These may include certain natural disasters, serious security situations, significant travel restrictions or other extraordinary events. Your statutory rights in such circumstances will apply.
30. Insolvency protection
Where required by applicable law, Irish Butler Luxury Travel will maintain appropriate insolvency protection arrangements for package travel bookings. The relevant protection details and provider information will be supplied to guests as required by law.
31. Travel advisors
We welcome bookings made through authorised travel advisors and agencies. Where a booking is made through a travel advisor, the booking remains subject to these Terms & Conditions. Any commission arrangements between Irish Butler Luxury Travel and the travel advisor are separate from the guest's booking price.
32. Bespoke private journeys
Bespoke journeys are individually designed according to each guest's requirements. Your proposal and booking confirmation will set out the agreed itinerary, accommodation, transportation, experiences, inclusions and total price. Because bespoke arrangements are individually created, specific supplier cancellation and amendment conditions may apply. These will be communicated before your booking is confirmed.
33. Privacy
We process personal information in accordance with our Privacy Policy and applicable data protection legislation. We may share relevant guest information with hotels, transportation providers, guides, attractions and other suppliers where necessary to provide the services included in your booking.
34. Liability
Irish Butler Luxury Travel accepts responsibility for the proper performance of the travel services included in a package to the extent required by applicable law. Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited. Where a service is provided by another supplier, we will work with the relevant provider to resolve any issues in accordance with our legal obligations.
35. Governing law
These Terms & Conditions are governed by the laws applicable in Ireland, subject to any mandatory consumer protection rights that apply to the guest. Nothing in these Terms & Conditions is intended to restrict any statutory rights available to consumers under applicable Irish or European law.
36. Changes to these terms
We may update these Terms & Conditions from time to time. The Terms & Conditions applicable to your booking will be those provided to you at the time your booking is confirmed, subject to any changes required by law.
